Terms of Service

These terms govern your organisation’s use of the AttendSure platform and services.

Last updated: 9 October 2026

1. Acceptance of terms

These terms are an agreement between you and AttendSure, ABN 27 934 200 735, of GPO Box 1538, Sydney NSW 2001, Australia(“AttendSure”, “we” or “us”). By creating an account or using AttendSure (“the Service”), you agree to these terms. If you are entering into these terms on behalf of an organisation, you confirm you have authority to do so. Please also read our Privacy Policy.

2. The Service

AttendSure supports organisations running online sessions in Zoom, Microsoft Teams and Google Meet meetings the organisation hosts. The Service provides:

Live View - the session displayed inside AttendSure, beside the monitoring information, so a host can watch the room in one place.
Camera monitoring - each participant’s camera on/off status, with timestamps, and alerts when a participant passes a threshold the organisation sets.
Presence Checks - a request asking a participant to confirm they are present, and a record of the response. See section 3.
Session records and reporting - a record of each session and the events within it, and exports of that record. See section 4.
Attendance certificates - a document your organisation issues from a session record, stating that one participant met the camera-on requirement your organisation configured, with a link anyone holding it can use to verify it. See section 5.

On Zoom, AttendSure runs as the host’s own browser tab using Zoom’s Meeting SDK, and the host chooses, each time a session is started, how that tab joins it:

With the host in the meeting - the host joins the Zoom meeting first, and the AttendSure tab joins alongside them as a separate participant, under a display name the host chooses. Zoom admits it only while the host is present, so monitoring stops if the host leaves.
“Monitor for me”, without the host - the AttendSure tab joins under the host’s own Zoom account, using the Zoom connection the host authorised, so the host does not need to attend. The host must not also join that meeting with the same Zoom account, because Zoom allows one sign-in per person.

In both cases the tab is visible in the participant list, and monitoring runs only while the AttendSure tab stays open and connected. No separate server-side service of ours joins a Zoom meeting.

On Microsoft Teams and Google Meet, AttendSure joins the meeting as a guest named “AttendSure”, operated for us by our meeting-bot provider Recall.ai. The meeting host must admit it from the lobby or “ask to join” list. It is set up with no video recording, no audio recording and no transcription. Some Teams meeting types - webinars, town halls and live events, meetings that require registration, and breakout rooms - are not supported, and an organisation’s own IT policy may prevent the guest from joining. Teams and Google Meet monitoring uses AttendSure Hours, described in section 11.

What the Service does not do. AttendSure does not record or store meeting video or audio, and does not access screen shares, files or recordings. On Zoom, it does not read general meeting chat content; Zoom messaging is used only to deliver private reminders and Presence Check messages, as described in section 3. On Microsoft Teams and Google Meet, it reads the meeting chat only to recognise replies to a Presence Check, and does not store the text of any message. AttendSure records objective evidence of camera status and acknowledgement. It does not measure attention, engagement or productivity, and nothing it produces should be represented as doing so.

3. Presence Checks

A Presence Check asks a named participant to confirm they are present. Checks may be sent on a fixed interval, at randomised times within an interval, or manually by the host - to one participant or to everyone in the session.

Delivery. On Zoom, a check is delivered as a private Zoom message to that participant, containing a single-use link. It is visible to that participant and is not posted to the meeting. Sending these messages is the only use AttendSure makes of Zoom messaging. Microsoft Teams and Google Meet do not allow private messages from AttendSure, so on those platforms a check is posted as one message in the meeting chat asking participants to reply, and each reply is matched to the participant who sent it.

Acknowledgement and response times. On Zoom, a participant acknowledges by opening the link and confirming; on Teams and Meet, by replying in the meeting chat. The organisation sets how long a participant has to respond. A check acknowledged inside that window is recorded as confirmed, together with how long the acknowledgement took; a check not acknowledged inside the window is recorded as missed. A response time is evidence of when somebody acknowledged, and is not a measure of attention.

Exemptions and delivery faults. A host may exempt a participant from checks for a period. Exempt time is recorded as time a check was deliberately not sent, and is neither a confirmation nor a miss. Where AttendSure is unable to deliver a message, that is recorded as a delivery issue on our side and is not recorded as a missed check against the participant.

Presence Checks are optional, and are off unless an organisation turns them on.

4. Session records & reporting

AttendSure keeps a record of each session: the meeting identifier, start and end times, the participants’ display names as shown in the meeting platform, camera on/off changes with timestamps, alerts raised, reminders sent, and Presence Checks issued, confirmed, missed or exempt. Records can be viewed in the application and exported.

These records are factual accounts of what the Service observed, provided as evidence for the organisation’s own reporting and record-keeping. AttendSure does not certify, assess or guarantee compliance with any law, standard, funding requirement or accreditation, and does not verify a participant’s identity. Deciding what a record means, and what to do about it, is the organisation’s.

How long session records are kept is set by the organisation, within the limits of its plan, and is described in section 10 of the Privacy Policy. Records past that period are deleted automatically and cannot be recovered. Certificates are the exception: they are not deleted when the session they came from is. See section 5.

5. Attendance certificates

AttendSure can issue an attendance certificate for a participant in a session your organisation ran. The certificate is generated from that session’s own record and states the participant’s name, the title you give the session, the date it was held, how long it ran, the camera-off time recorded against that participant and the camera-off limit that applied, together with your organisation’s name, the name and job title of the person issuing it, that person’s signature image if they have uploaded one, and a unique certificate number.

What a certificate asserts. A certificate states one thing: that the named participant met the camera-on requirement your organisation configured for that session - no single absence longer than the limit you set and, where Presence Checks were used, no missed check. AttendSure records the participation evidence behind that statement; your organisation sets the requirement and issues the certificate. AttendSure does not itself certify camera attendance, and a certificate is not a certification of identity, competence, assessment, attention or engagement, nor a statement that any law, standard, funding requirement or accreditation has been met. AttendSure does not verify who a participant is. The assertion is your organisation’s, and you are responsible for its accuracy and for what it is relied upon to prove.

Who may issue one. Any member of your organisation may issue a certificate, because the person who ran the session is usually the person who should issue it. Withdrawing a certificate, or replacing its verification link, is limited to the person who issued it and to your organisation’s owners and administrators.

The verification link. Every certificate carries a link to a public verification page. That page needs no AttendSure account and no sign-in: anyone holding the link can open it, see everything listed above except the signature image, and download a copy. AttendSure does not publish or list these links, and sends a certificate to a participant only when one of your users asks it to. Who else receives a link is your organisation’s decision and the participant’s, and giving a participant notice that a certificate carries such a link is part of your obligation under section 9.

Withdrawal, and how long certificates are kept. You can replace a certificate’s link at any time, which immediately stops the old link working for everyone holding it, and you can withdraw a certificate, after which the verification page reports it as withdrawn rather than valid. A withdrawn certificate is marked withdrawn and kept, not erased - a certificate issued in error has to remain answerable. There is no control that deletes a single certificate. Issued certificates are outside the retention period in section 4 and are kept indefinitely; they are deleted when the organisation that issued them is deleted, which an owner can do from within AttendSure. This is described in section 10 of the Privacy Policy.

6. Accounts

You are responsible for the accuracy of your registration details, for keeping your password secure, and for activity under your account. Notify us promptly of any unauthorised use.

Within your organisation, what an account can see and do is controlled by its role - Owner, Admin or Member - and application queries are scoped to your organisation. There are two deliberate exceptions, described in our Privacy Policy: a certificate verification link answers anyone holding it, so that a certificate can be checked without an account, and our own support console can read across organisations, with every such read recorded in an audit log.

7. Right to decline service

AttendSure reserves the right, at its discretion and subject to applicable law, to decline an application for an account, subscription, trial or other access to the AttendSure platform. We may also decline to enter into or renew a commercial relationship where we determine that providing the service is not appropriate for our business, operational, security or commercial requirements.

8. Acceptable use

You agree that you will not:

Use the Service for anything other than legitimate attendance and compliance monitoring of sessions you are authorised to run
Attempt to access data belonging to other organisations, or probe or disrupt the Service
Use the Service to harass or unlawfully surveil individuals
Breach the terms of Zoom, Microsoft Teams, Google Meet or any other platform you use, or any law applicable to you

9. Participant notice & consent

You are responsible for informing participants, before or at the start of a session, that the session is being monitored, and for obtaining any consent required in your jurisdiction. That notice should make clear that an organisation may use both camera-status monitoring and Presence Checks during a session, that Presence Checks are delivered as private Zoom messages asking the participant to confirm they are present (or, on Microsoft Teams and Google Meet, as a message in the meeting chat that participants reply to), and that the outcome of each check is recorded. On Teams and Meet, it should also make clear that an AttendSure guest joins the meeting.

Where you issue attendance certificates, that notice should also cover them: that a certificate may be issued naming the participant, that it carries a verification link which discloses the certificate to anyone holding it, that you may ask for an email address in order to send it, and that a certificate is kept after the session record behind it has been deleted. See section 5.

AttendSure provides the tool; giving that notice, obtaining any consent, and lawful use of the Service are your responsibility. That allocation is deliberate, and it is stated here rather than left implied: you decide which participants are monitored, what they are told and what a certificate says, and we act on your instructions.

There are two points at which AttendSure deals with a participant directly rather than through you - when a participant opens a Presence Check link to acknowledge it, and when someone opens a certificate verification link. What AttendSure collects and does at those two points is described in our Privacy Policy, and is our responsibility rather than yours. Everything else about participant notice remains yours.

10. Zoom connection

Connecting a Zoom account authorises AttendSure to run in your browser on that account’s behalf for the purposes described in section 2: displaying the session in Live View, reading participants’ camera on/off status, and sending private reminders and Presence Check messages. It does not authorise access to meeting video, audio, screen shares, files, recordings or general chat content.

The participant names and camera-status events read under that authorisation are what session records, reports and attendance certificates are built from. A certificate issued from a session outlives the Zoom connection it was read through: disconnecting a Zoom account stops AttendSure reading anything further from it, and does not withdraw or delete certificates already issued. See section 5.

You may disconnect a Zoom account at any time, which revokes that access. Your use of Zoom remains subject to Zoom’s own terms.

11. AttendSure Hours

Monitoring on Microsoft Teams and Google Meet uses AttendSure Hours, a prepaid balance held by your organisation. Zoom monitoring does not use them.

Each organisation receives 5 complimentary hours when it signs up, and 10 more complimentary hours the first time it is on a paid plan. Each is given once only, not on renewal or on subscribing again. Complimentary hours have no cash value and cannot be transferred. Further hours are bought in packs at the prices shown on the Pricing page, in Australian dollars, by card through our payment provider Stripe. If you pay from outside Australia, Stripe may show and charge the converted amount in your local currency at checkout; your receipt is in Australian dollars. Only an owner or admin of the organisation can buy hours.

Hours are used for the time AttendSure is in your meeting, from the host admitting it until it leaves. Time spent waiting in a lobby is not counted. Live View currently uses hours at the same rate.

A session in progress is never stopped because the balance runs out. It continues to its end, the balance may go below zero, and the difference is taken from the next hours added. A new Microsoft Teams or Google Meet session cannot be started while the balance is zero or below.

Purchased hours do not expire while your organisation has an active subscription. Hours can be used only while your organisation has an active trial or subscription. If your subscription ends, unused hours stay on your account for 12 months and can be used again if you subscribe again within that time. After 12 months they expire. This does not limit any right you have under the Australian Consumer Law.

Auto Top-Up is off unless an owner or admin turns it on. When it is on, you authorise us to charge the saved card for the pack you chose each time the balance falls below the level you chose, without asking you again. A receipt is emailed for every charge, there are at most 3 automatic charges in any 24 hours, and you can turn it off at any time in Billing. If a charge fails, Auto Top-Up pauses and we let you know; you can then top up by hand.

Hours are used in the order they were added to your balance: complimentary hours first, then each pack in the order it was bought. Refunds of hour packs, including Auto Top-Up charges, are covered by our Refund Policy.

12. Fees, billing, renewal & cancellation

Free trial. An organisation can start with a 14-day free trial. No card is needed and nothing is charged during the trial; when it ends, monitoring pauses until a plan is chosen.

Prices. Plans are priced in Australian dollars at the price shown on our Pricing page when you subscribe. If you pay from outside Australia, our payment provider Stripe may show and charge the converted amount in your local currency at checkout; your invoice is in Australian dollars. AttendSure is not registered for GST, so no GST is added.

Billing in advance and renewal. A paid plan is billed in advance, monthly or yearly, by card through our payment provider Stripe, and renews automatically at the end of each period until it is cancelled. Extra seats are billed as shown in Billing before you confirm them.

Price changes. We will tell you by email at least 30 days before a price change applies to your plan. It applies from your first renewal after that notice, and you can cancel before then.

Cancellation. An owner or administrator can cancel at any time from Billing. The plan then continues to the end of the period already paid for and is not renewed.

Failed payments. If a payment fails we will let you know and Stripe will try again; while it remains unpaid, starting new sessions may be paused.

Refunds. Our Refund Policy forms part of these terms. Nothing in these terms limits your rights under the Australian Consumer Law.

13. Availability & changes

We aim to keep the Service available but do not guarantee uninterrupted operation, and we may improve or change its features.

We may also update these terms. If a change materially affects you, we will tell you by email or in AttendSure at least 30 days before it takes effect, unless the change is required sooner by law or for security. If you do not agree to the change, you can cancel before it takes effect, and section 12 and our Refund Policy apply. AttendSure asks each user to confirm they have read the updated terms.

14. Disclaimer & liability

Except for the guarantees that cannot be excluded under the Australian Consumer Law, the Service is provided “as is” without other warranties. To the maximum extent permitted by law, we are not liable for indirect or consequential loss arising from use of the Service. Nothing in these terms limits rights that cannot be excluded under applicable law, including the Australian Consumer Law.

15. Termination

You may stop using the Service at any time. An owner can delete the organisation and everything belonging to it from within AttendSure, which cancels any subscription and permanently removes its accounts, sessions, participant records and certificates; you can also ask us to do it. We may suspend or terminate access for breach of these terms.

16. Governing law

These terms are governed by the laws of New South Wales, Australia, and each party submits to the non-exclusive jurisdiction of the courts of that State and the courts of appeal from them.
